Conference Room Size

Meeting rooms get sized two ways. The quick way is square feet per seat. The better way is to start from the table, add the chair pull-out, and add a walking route around it. They usually land in the same place, and when they don't, it's the table that's right.

Square feet per person

The planning rule is 25 to 30 square feet per seated person. That covers the share of the table, the chair, and the circulation behind it. Rooms with presentation screens, credenzas, or a service counter need the upper end or more.

A four-person huddle room at 120 square feet works. The same four people in a 300 square foot room feel like they're holding a meeting in a hallway, so oversizing has a cost too.

Start from the table instead

Table dimensions by seat count, from the same planning guide:

Then add clearance on every side. A chair needs about 36 inches to pull out, and a route behind a seated person wants 42 to 48 inches. So a 10 foot table for eight in a room needs roughly 10 + 8 = 18 feet of length and 3 + 8 = 11 feet of width, which is 198 square feet before you add a credenza. That reconciles with the 150 to 200 square feet the per-person rule gives for eight people.

The proportion rule for the table itself is roughly 2:1, length to width. A 6 foot table is about 3 feet wide.

What the room costs

Conference rooms are the most expensive square footage in an office because they sit empty most of the day. It's worth pricing them.

A 300 square foot conference room in a building at $28 per rentable square foot per year costs $8,400 a year before the load factor is applied. At a 15 percent load factor, the rentable area is 345 square feet and it's $9,660 a year, which is roughly $805 a month for a room used a few hours a day.

Practical details that change the size

The screen wall. Anyone seated should be able to read the display without turning fully around, which pushes the table away from the screen wall and adds length.

The door swing. Conference room doors usually open inward, taking about 7 square feet out of the corner.

A credenza or coffee station. Add 2 to 3 feet of depth along that wall.

Video calls. A camera at one end needs everyone in frame, which favors a shorter, wider table over a long thin one.

Common mistakes

Sizing off the table alone. A table that fits a room isn't the same as a room people can walk around while someone is seated.

Forgetting the chairs at the ends. A 12 person table is usually 5 per side plus 1 at each end, and the end seats need the most clearance.

Using the per-person rule for a boardroom. Executive tables run wider and the chairs are bigger, so 30 square feet per person is a floor rather than an average.

Pricing it as usable square feet. You pay on rentable, which includes a share of the building's common areas.
